Exhibit Set-Up/Dismantle
You may set up your display beginning on Monday, September 21st 1:00pm – 5:00pm and Tuesday, September 22nd as early as 6:00am. Displays must be completely dismantled and vacated by 6:00 pm on Wednesday, September 23rd.
Shipping & Storage
Arrangements for delivery of packages should be made through the Catering & Conference Services Department. Meeting/exhibit material shipped to the hotel within 1 week of the scheduled event will be stored free of charge. Storage charges will be assessed if meeting/exhibit material is shipped more than a week of the scheduled event and/or if material is of extraordinary size/quantities. Charges outlined below are subject to change without notice.
All vendor companies shipping items for hotel storage must submit the CC Authorization Form by September 13, 2026. The form can be downloaded here

Handling charges to move material from storage area to the function rooms will be charged as follows:
- Box Handling Fee: 2 – 20 lbs = $10.00 + tax, per box/pelican case
- Box Handling Fee: 21 – 60 lbs = $15.00 + tax, per box/pelican case
- Box Handling Fee: 61 – 100 lbs = $30.00 + tax, per box/pelican case
- $250.00 per pallet
- Additional charges may be assessed for oversized, heavy boxes and crates.
Due to safety standards, we cannot move items over 100 lbs. The Hotel will not be responsible for moving any mechanical devices or technical equipment. Guest will be responsible for securing a drayage service to move any mechanical device or technical equipment to and from the exhibit area and designated loading area.
A completed Credit Card Authorization Form through our secured Sertifi platform of box handling charges must be arranged in advance by the vendor company and can reach out to Emily Fong directly at efong@princewaikiki.com prior to boxes and/or crates being sent to the Hotel.
Once the conference concludes, vendors must schedule a pickup from FedEx or UPS directly to retrieve their boxes from Prince Waikiki Hotel (100 Holomoana Street, Honolulu, HI 96815). Once a scheduled pickup has been arranged, vendors may tape up + apply the return shipping label on their boxes and leave at their respective exhibit tables for the Banquet Team to transfer downstairs to their loading dock via the basement level.
Parking
Limited parking is available for vendors + attendees in The Prince Waikiki self-parking garage and valet. With a banquet validation sticker, the special flat parking rates are as follows:
- Self-Parking = $15.00 per vehicle, per day
- Valet Parking = $20.00 per vehicle, per day
If you do not receive a validation sticker, the below parking rates will apply:
- Self-Parking = $7.00 per hour
- Valet Parking = $12.00 per hour
Note: Please ensure you receive your banquet parking validation sticker if you have your vehicle in the Prince Waikiki self-parking garage or valet. Additional self-paid parking is available in the Marina metered street parking at $1.00 per hour and at the Marina Parking Garage (1785 Ala Moana Blvd – entry after the old Red Lobster)
Accommodations
Applies to 3 days before and 3 days after conference dates, September 21 – 23, 2026, subject to availability.
Run of Ocean includes: Ocean View and Oceanfront Harbor. Category assignment will not be known until the day of arrival and will be dependent on the availability in each category on arrival day.
